OnSet Staffing Privacy Policy

Effective 13 October 2026.

OnSet Staffing is a workforce time-tracking app operated by OnSet Staffing (“we”) for our own employees and contractors. It is not offered to the public and does not sell or share personal data for advertising.

What we collect and why

• Account details — name, email address, mobile number, employee number. To identify you, schedule you, and let supervisors reach you on shift.
• Time records — when you clock in and out, the site and task, and any correction you or the office makes. These are wage records and are kept as the law requires.
• Location, while you are clocked in. When you clock in and out, the app records your position with the punch so the office can confirm you were at the site. While you are clocked in, it also shares your position with your company's office every few minutes so dispatch can see where the crew is. If you allow location “Always”, this continues with the app closed, and iPhone shows its location indicator while it does; if you allow it only while using the app, it is shared only while the app is open. Sharing starts at clock-in and stops at clock-out — the app does not record your location when you are not on the clock. Positions are visible only to your company's managers.
• Site photos — photos you take at the start and end of a shift as required by company policy. They document site conditions, cone and sign placement and safety equipment. They are stored privately and are visible only to you and to the company's managers.
• Certifications — the type, number and expiry of work cards (for example a flagger certification) recorded by the office so you are not scheduled for work you are not certified for.
• Availability and messages — what you tell dispatch about your availability, and messages you send to colleagues in the app.

Text messages (SMS)

If you turn on Text me work alerts in the app (More → Account), we send work alerts to your mobile number: when you are assigned to a job, when a job you are on changes, and when your shift is cancelled or reassigned. We do not send marketing texts. Message frequency varies with your schedule. Message and data rates may apply. Reply STOP to stop texts at any time, or HELP for help; you can also switch texts off in the app. Texts are sent through our messaging provider, Telnyx, only to deliver these alerts.

We do not sell, rent or share your mobile number or text-messaging consent with any third party or affiliate for marketing or promotional purposes. Mobile numbers and opt-in data are used only to send the work alerts described above. See our Terms & SMS Terms.

What we do not do

• No advertising, no analytics SDKs, no sale or sharing of personal data with data brokers.
• No location tracking outside your shift. Nothing is recorded before you clock in or after you clock out.
• No advertising identifiers, and no access to your contacts, calendar or health data.
• The microphone is used only while you record a short video to send to the office, because a video records sound. We do not record audio at any other time and never in the background.
• No access to your photo library beyond a photo you choose to attach.

Where data is stored

Data is stored with Supabase (hosted on Amazon Web Services in the United States), protected by row-level security so that employees can see only their own records and managers can see only the records of their own company. Photos are stored in a private bucket and are never publicly accessible.

How long we keep it

Time records are retained for the period required by applicable wage-and-hour law — in New York, payroll records must be kept for at least six years. Site photos are retained for two years and then deleted. Positions shared during a shift are deleted after 30 days; the location recorded with each clock-in and clock-out stays with the time record. If you delete your account, your name, email and phone number are removed immediately; your time records are kept in anonymised form because they are wage records.

Your rights

You can export everything the app holds about you at any time from More → Account → Export my data, including any performance ratings recorded about you. You can delete your account from the same screen. You may also request access, correction or deletion by emailing info@onset-staffing.com. We do not sell or share personal information. Depending on where you live you may have additional rights over your data; email us and we will honour them.

Children

OnSet Staffing is for employees aged 18 and over.

Changes

We will post any change to this policy here and update the effective date.
